OFFICE COORDINATOR in Tallinn Operations

to make your contribution to Swappie Operations and sustainable environment. In this role you get to contribute to Swappie’s success by enhancing site & office safety, comfort, cleanliness, and productivity through coordination, support and execution of various workplace-related tasks and projects.

As an Office Coordinator you get to carry out different projects from start to finish and coordinate inclusive workplace related activities & events to bring people together. You get to be around our people and be their first point of contact. In addition you get to take initiative in Swappie employees wellbeing and office comfort, including interior design.

WHAT YOU WILL WORK ON

• Maintaining and improving overall office safety, comfort (ergonomics, spaces & meeting rooms, fixtures & fittings) and cleanliness (cleaning service and schedules).

• Coordinating non-technical vendors such as cleaning companies or other service providers. Highlighting technical issues to the Security and Tech Manager.

• Tracking and budgeting office-related spend together with HR and the site management.

• Purchasing office supplies and merch based on the agreed process.

• Receiving and sorting incoming office supplies deliveries.

• Arranging travel bookings and coordinating visits.

• Planning and organising in-house and off-site activities, events and celebrations.

• Collaborating with the Health & Safety and Quality teams to assure appropriate health and safety measures are in place and followed.

• Making sure all visitors are appropriately welcomed, instructed and directed to the correct place.

• Supporting management with the administrative tasks.

• Coordinating and executing projects related to the office space, engagement and wellbeing etc.

• Arranging and coordinating inclusive workplace related activities and events, including new joiner onboarding.

WE WOULD LIKE TO HEAR FROM YOU IF YOU

• Have good written and verbal English and Estonian skills.

  • Russian skills are considered as an advantage.

• Have organisational and budgeting skills

• Are proactive

• Possess critical thinking skills and have the ability to challenge proposed ideas.

• Have negotiation skills

• Have good communications skills & previous experience working in a multicultural environment.

• Have spatial perception.

• Have a positive attitude towards work.

  • Previous Office management experience is seen as an advantage.

  • Experience in the production environment is considered a plus.

  • Knowledge in occupational health and safety act and its application in the workplace is regarded as an advantage.
